What to expect and what you need to do
The BEARS Regional Onboarding Team stands at the ready to assist departments, and the new employees they hire, with the various steps needed to complete the onboarding process. All new hire/rehire paperwork is completed remotely through an online process that includes new improved DocuSign packets.
New employees will need to have their work authorization documents (i.e., ID) physically inspected and documented on their Form I-9. The recommended method is for the employee to identify an Authorized Representative (AR) who will act on their behalf to verify their documentation in person and complete their Form I-9.
An Authorized Representative can be anyone (EXCEPT THE EMPLOYEE) over the age of 18; a spouse, partner, friend, roommate, UC Berkeley colleague or supervisor, etc... Employees must meet with their Authorized Representative IN PERSON and complete Section 2 with their original document(s) details of the Form I-9. Authorized Representatives who have been identified by the new employee will receive an email from employment.authorization@universityofcalifornia.edu(link sends e-mail) (it may also come from i9complete@trackercorp.com(link sends e-mail)) and will include detailed instructions.
- Please note: the email(s) may be in a SPAM folder so best to check there if the email is not in inboxes. If the employee does not have an Authorized Representative, the Regional Onboarding Teams will work with the employee to try and make other arrangements.

Here are additional details to help you prepare:
1. DocuSign Packet - New/Rehire employee paperwork

You will be sent your DocuSign packet via email from: dse_na2@docusign.net(link sends e-mail. Check your spam if you have not received it! Please complete your DocuSign packet as soon as possible so that we may initiate your hiring information in our system. The sooner the better!
2. Section 1 of your I-9 (Required employment authorization)
- You will also receive an email fromemployment.authorization@universityofcalifornia.edu and complete section 1 of your I-9.
- ***Please note: you will need to complete Section 1 of your I-9 before Section #2 being sent to your Employer Representative
3. Authorized Representative (AR)
- The AR you have identified to act on your on your behalf to physically inspect your work authorization documents will receive an email from: employment.authorization@universityofcalifornia.edu. It may also come from i9complete@trackercorp.com. The email will include detailed instructions on actions they need to take in order to complete the verification.
