New Process - Support for Merit Letters for FY20 Non-Represented Staff Salary Program and BRS Support

Dear Merit Administrators.

As confirmed in this email campus Merit Administrators received from Scott Dinkelspiel on 9/3/19, the merit process has changed this year due to UCPath. In previous years, your BRS HRBP or Generalist took an active role in updating HCM. With the transition to UCPath, Central HR Compensation has decided to streamline the process by working directly with Departments on administering merit cycle increases in UCPath. 

Consequently, your BRS HR Business Partner or Generalist does not automatically have access to your merit rosters and we want to advise you about the impact on merit letters. This year, departments have two options regarding BRS support for exempt and/or non-exempt merit letters:

  • Departments can draft and distribute merit letters directly to their employees (please see attached templates). Then they should submit a ticket via ServiceNow ( select "Timekeeping, Employment Records, Benefits, and Personal Information Changes") with a PDF of signed letters attached. Please also include a list of the employee names corresponding to the attachment. Alternatively, hard copies of the signed merit letters may be given directly to the Department's HRBP / HR Generalist for filing.

  • Alternatively, your HR Business Partner or Generalist can support drafting and distributing merit letters as they have done in years past. Should you wish for that support, Departments will need to provide completed merit rosters with employee name, merit increase percent, new hourly or monthly comp rate, supervisor name, and supervisor title to your HRBP or Gen no later than October 1, 2019. This will allow enough time to generate and distribute letters in advance of the October 30 (Bi-weekly) and November 1 (Monthly) paychecks.
