COVID-19: Regional and Shared Services Updates

Dear Colleagues,

I am writing with an update on business operations in light of COVID-19, as of today. In addition to BEARS, I have included updates from other campus partners in central services, thinking that it might be helpful to consolidate the updates and hyperlinks in one communication.  Please forgive the lengthy email.

BEARS

BEARS staff are working remotely in response to the directive to shelter in place, however we are fully operational at this time, delivering services electronically without interruptionIf the situation changes due to staff illness or other COVID-19 events, and we need to prioritize services, I will let you know those impacts immediately and will post a notice on our regional website under News

  • Research Administration: for new requests for pre-award support, contact Moises Ochoa. For ongoing pre or post-award support already in progress, please email your RA.

  • Purchasing and Reimbursements: normal operations continue. Our main challenge has been confirming with departments that their staff is available to receive orders. Ask your departmental staff that submit orders to respond timely to requests for information. For urgent requests, contact Azar Golpayegani

  • Human Resources/Academic Personnel Support: 

    • HR Partners and Generalists are working remotely responding to ServiceNow requests, emails and phone calls.

    • Payroll/Timekeepers are remote, responding to ServiceNow requests and emails. 

    • HRIM Staff (new hire paperwork processing and UCPath non-payroll related updates) are completing remaining in-person work, and will be fully remote starting tomorrow, March 20. For updates on New Hire Onboarding , see “BRS Central Services” below.

People and Culture                     

The People and Culture website will be updated on a regular basis to provide guidance  on COVID-19 updates and policy. Please visit https://hr.berkeley.edu/home for the latest information. As of today, I would like to highlight the following:

  • COVID-19 Paid Administrative Leave (staff and non-academic student titles)

    • UCOP has a UC COVID-19 Guidance Webpage designed to help managers/supervisors implement actions, such as the latest Executive Order (as of 5 PM on March 16) providing up to 128 hours of COVID-19 related paid administrative leave. UCOP is still determining how some of the provisions will be interpreted, but this is what we have so far.
  • COVID-19 Paid Administrative Leave (academic titles)

Central Payroll/CalTime

An email to managers and supervisors  with Guidance for timekeeping during the Coronavirus (COVID-19) was sent at 1:30 PM yesterday from CalTime. The email to employees was sent earlier today. Additional information is available on the CalTime website

Cal1 Card

In an effort to comply with the directive to "move towards greatly reduced operations" while maintaining some level of access to essential services, the Cal 1 Card office will be adjusting in-person service hours as posted on their website
